Ordering & Electronic Resource Management Assistant             

 

Under the general supervision of the unit Manager, the Ordering & E-Resource Management Assistants, undertake the following duties: Place orders with vendors as necessary for library materials and resources, including verifying current inventory, locating and creating initial catalog records, creating new order records and monitoring available funds within the integrated library resource management system.  Place orders for library supplies and services working with University Procurement to comply with existing policies and procedures and working with the Library Accounts unit to maintain accurate documentation for each purchase.  Work within the University’s financial management software to create requisitions and reconcile monthly procurement card transactions.  Monitor and handle claims and/or cancellations for open orders.  Maintain vendor files, updating records and data as necessary.  Review and maintain licensing documentation for electronic resources. Maintain metadata in the Library’s integrated resource management system, including amending, suppressing, or deleting bibliographic and item records as appropriate, adding and maintaining serials holdings statements, and maintaining metadata relating to access to electronic resources.  Manage the subscription renewal process and maintenance of the subscription lists, monitoring for publisher and/or title changes which may impact access/receipt.  Develop and foster good working relationships with vendors, sales representatives, Library selectors, and other University staff.  Supervise and train casual staff, including student workers, and provide documentation as directed.  Provide reports and gather statistics as directed.  Perform such other duties as may from time to time be required.  Due to the areas of overlap and responsibility, this position will be scheduled within University business hours.

 

 

Some college required (at least 2 years preferred), minimum of 2 years related experience, preferably in an automated library, subscription or purchasing agency environment. Knowledge of serials acquisitions, including trends in publishing and subscription services, and publication patterns for receipt and claiming.  Excellent organizational, analytical, communication, and interpersonal skills.  Aptitude for accurate, detailed work essential.  Ability to work independently, with frequent interruptions.  Knowledge of bibliographic components, publishing, and relevant technology preferred.  Ability to work effectively with a diverse staff and clientele and to function well in a team environment.  Desktop software application skills required for the following:  web browsers, Adobe, Microsoft Word, Excel and Outlook.  Intermediate Excel skills preferred. Ability to lift heavy book cartons and push fully loaded book trucks.
