ALCTS e-Forum: Making the Move: Considerations for Relocating Collections, Staff, and Services

Libraries of all types and sizes are re-envisioning their physical spaces to fit their institutional missions and goals. Recent ALCTS e-Forums reflected on a variety of concerns with weeding collections. Aside from downsizing, moving/storing collections and relocating user services and staff temporarily during a renovation requires careful and thorough planning by librarians who manage such projects. Thoughtful preparation can ease the disruption for users and staff while maximizing use of new locations for materials. Day One of the e-Forum will solicit preparation tips needed to move collections, either permanently or temporarily. Day Two will concentrate on preparation tips for re-locating staff and/or services before and/or after renovation.


Moderators

Laura Turner is the Head of Collections, Access, and Discovery at Copley Library, the university library at the University of San Diego. She was responsible for planning the move of library materials offsite and worked with library administration to set up temporary staff and user services spaces. Turner also collaborated with the systems librarian and his team to ensure seamless processes for retrieval of offsite library materials during the renovation. 


Alejandra Nann is the Electronic Resources and Serials Librarian at Copley Library, the university library at the University of San Diego. She was responsible for managing a large print journal deselection project in conjunction with the library’s renovation, and she provided oversight while library materials were moved off-campus into storage. Nann currently manages her staff’s concerns and workflow in their temporary location during renovation, and she is preparing them for moving back into the library. 


Millie Fullmer is the Acquisitions and Cataloging Librarian at Copley Library, the university library at the University of San Diego. One of her main tasks during the current library renovation is ensuring that the local ILS's bibliographic data reflects that of the offsite storage company and trouble-shooting any discrepancies. She has also been involved with managing library staff's expectations, changing job roles, and other concerns during this time of transition. 



What Is an e-Forum?

An ALCTS e-forum provides an opportunity for librarians to discuss matters of interest, led by a moderator, through the e-forum discussion list. The e-forum discussion list works like an email listserv: register your email address with the list, and then you will receive messages and communicate with other participants through an email discussion. Most e-forums last two to three days. Registration is necessary to participate, but it's free.
