Re: Claim intervals Ian Woodward 12 May 2008 21:44 UTC
We have a III system and one specifies in each check-in card the period of time which must elapse before an issue is identified as 'late' and thus ripe for claiming; said period is understood in the system as the number of days after which an issue is 'expected' per the date entered in the check-box in quesiton. The period of time 'ere a status of 'late' is registered is for nus half the mean days between a publications issues throughout the year, but no fewer than ten days nor more than sixty. EBSCO provides its customers with lists of titles whose publishers have specified an interval after which they no longer honor claims. For about 60% of the titles to which we subscribe, this interval is no longer than six months. We will review our whole list of titles for claims every three months; titles for which the publisher ceases to honor at a point of time 5-10 months after shipment we review monthly; titles for which the publisher ceases to honor after 2-5 months we review semi-monthly; titles for which the publisher allows fewer than two months grace are reviewed weekly. We do spot claims while checking in as well. Sometimes we file and sometimes we elect to amend the expected date. Each time we review, we send an email to our customer service representative at EBSCO pointing with a list of issues we have not received after two claiming attempts. Issues we do not receive after our rep. has twice been contacted go onto a list I keep of issues to make calls to the publisher about. This works more often than one might expect. IW I. However, I would add that I don't claim anything unless I know it's been published. To that end, my students search other libraries holdings to see if they have the issue we're still waiting for, and when they got it. It takes a little more time up front, but saves both time and frustration in the long run. Jeanette L.
